UCF Financials 9.2 Upgrade

Finance and Accounting (F&A) is pleased to announce the launch of the UCF Financials 9.2 Upgrade Project. Upgrade planning began in May 2015 and the project is scheduled for an October 3, 2016 go-live date. As part of the project, F&A’s Financials Support Services (FSS) team will coordinate with Computer Services and Telecommunications (CS&T) and UCF’s Office of Research and Commercialization (ORC) to upgrade all existing modules in UCF Financials as well as expand new eProcurement purchasing capability to system users at the UCF Research Foundation.

The Oracle PeopleSoft Financials and Supply Chain Management version 9.2 incorporates new product functionality such as workcenters and forms capability intended to create efficiencies for system users. The project is planned in the following eight phases; click the links under each phase for additional project information including the project timeline, fit-gap and testing schedules, and project communication and training offerings, when they become available.

Planning & Orientation

The project officially launched December 18, 2015 with a kick-off meeting to inform project stakeholders of their roles and responsibilities. The presentation and project timeline are available at the links below.

Analysis (Fit/Gaps)

Fit/gap sessions are interactive design meetings in which users, key project stakeholders, and the FSS team review new features that will be available in the Oracle PeopleSoft modules being upgraded, and discuss how business processes will either fit or be changed to make use of any new system functionality that is scheduled to be delivered as part of the project.

User Acceptance Testing (UAT)

User Acceptance Testing (UAT) for the Financials 9.2 Upgrade Project begins on May 2. UAT involves interactive, hands-on testing and evaluation sessions with end-users representing a variety of UCF Financials system users. Working with business and technical analysts from the Financials Support Services (FSS) team, end-users will evaluate the proposed changes and configuration of the system as it has been designed to-date. The valuable feedback they provide during the sessions allows the FSS team to deliver the upgraded 9.2 system on the October 3 go-live date with features that will provide users greater efficiency and productivity. Participating in UAT for the 9.2 upgrade are end-users representing:

  • UCF Research Foundation
  • UCF Facilities and Safety Business Office
  • UCF Purchasing Department
  • Finance and Accounting sections, including
    • Budget
    • General Accounting
    • PCard Administration
    • Property
    • Student Accounts
    • Travel

Instructor-led training sessions for end-users representing UCF Research Foundation, UCF Facilities and Saftety Business Office, UCF Purchasing Department and UCF Finance and Accounting will begin on September 12, 2016.

The Financials system upgrade requires an early month-end close for September, similar to fiscal year-end, with hard deadlines for the last day you can create requisitions, approve PCard charges, or submit journals that need to be posted in September.
